Data processing when using PMS systems (widgets)

Widgets of the company zadego GmbH (easybooking) may be implemented on these pages.

The provider is a PMS system, which represents the provider of the hotel software of the responsible person. Depending on the tourism business, the widgets can be the following:

  • Enquiry form
  • Booking engine
  • Small Search (enquiry, booking)
  • Category View
  • Room view
  • Packages Widget
  • Price overview
  • Price comparison
  • Availability calendar
  • Online Check-In

a. General information

In order to process your enquiry or booking, it is necessary that the data provided by you to the responsible person is processed.

The above-mentioned person in charge and zadego GmbH (both jointly also referred to as "provider") have a contractually regulated business relationship. The responsible person obtains his hotel administration or booking software from zadego GmbH.

The personal data provided by you will be transferred to the administration system and to companies in business relations with the administration system. This transfer takes place in particular to the aforementioned landlords, possibly also to tourism associations, registration providers, payment providers and other companies that are linked to the administration system and/or landlord and must be consulted for the fulfilment of post-contractual obligations.

The use of personal data by the providers is governed by the applicable statutory provisions and the consent given by you to the use of your data.

b. Collection of data

Within the framework of an enquiry or booking with the tourism company, you provide relevant data for the execution of the same. As a rule, this involves the following:

  • First name and surname
  • E-mail address
  • Address
  • Telephone
  • Payment data (bank details, credit card details)
  • Birth data (for the identification of children)

This data is only collected to the extent permitted by law and only with your consent and active participation. As far as the consent is declared electronically within the scope of the services, the legal obligations to provide information are taken into account and this consent is recorded by suitable technical systems.

c. Purpose of this data processing

The responsible person will process your personal data in this context for the following purposes:

  • Offering
  • Online Check-In
  • Fulfilment of reporting obligations
  • Payment processing
  • Accounting

If you enter personal data (contact data, e-mail, data of the desired stay in our house) in one of these widgets, this is always done on a voluntary basis and only for the purpose of being able to make an appropriate offer for your desired stay.

If there is no contractual relationship between the parties (i.e. there is no stay in the business of the responsible person), the data of the person concerned will be deleted automatically from the systems immediately. In individual cases, legal storage and deletion periods must be observed.

Amazon Simple Email Service

For sending emails (e.g. messages from contact forms or newsletter emails), we use the Amazon Simple Email Service (Amazon SES). The provider is Amazon Web Services EMEA SARL, 38 avenue John F. Kennedy, L-1855 Luxembourg (“AWS”).

Amazon SES is an email delivery service that enables us to reliably send emails via AWS infrastructure. The data required for email delivery (in particular, the email address, IP address, timestamp, and content of the message) is processed on AWS servers. Processing is based on Art. 6 (1) lit. f GDPR (legitimate interest) in secure, reliable, and efficient email communication. If you subscribe to our newsletter or contact us via a form, processing is also carried out on the basis of Art. 6 (1) lit. a GDPR (consent).

We have concluded a Data Processing Addendum (DPA) with AWS in accordance with Art. 28 GDPR, which ensures that personal data is processed exclusively in accordance with our instructions. Data processing takes place exclusively in data centers within the European Union, in particular in the regions “EU (Frankfurt)” or “EU (Ireland)”.
No transfer of personal data to third countries (e.g. the USA) takes place.
However, due to Amazon’s corporate structure, it cannot be completely ruled out that U.S. authorities may request access to data stored in the EU in individual cases.
AWS has implemented appropriate technical and organizational measures as well as Standard Contractual Clauses (Art. 46 GDPR) to ensure an adequate level of data protection.
